How Advanta Wealth uses Aveni Assist to reduce admin and personalise client reports
Advanta Wealth: An AI vision for smarter client service
For financial advisers, the work doesn’t end when a client meeting finishes. Notes need writing, fact-finds need completing, and important details must be passed to paraplanners before advice can progress.
At Advanta Wealth, this administrative workload was taking valuable time away from the people and conversations that needed it most.
The firm partnered with Aveni to change that. By introducing Aveni Assist across its advice process, Advanta has streamlined post-meeting administration, given paraplanners greater insight into client conversations and made it easier for teams to produce personalised client documentation.

The challenge: Giving advisers their time back
Advanta Wealth wanted its advisers to spend more time understanding clients’ needs and building long-term relationships, rather than documenting conversations after the event.
Carolyne Russell, National Client Director at Advanta Group, described the hours spent writing notes, completing fact-finds and relaying meeting details to paraplanners as “dead time”.
The administrative work was necessary, but the process was inefficient. Advisers were spending time reconstructing conversations they had just finished, while paraplanners often needed further clarification before they could progress a case.
Advanta saw an opportunity to improve the entire advice process by capturing client information more effectively from the outset.
“We understood how important it was to get the implementation right and bring our team along on this journey. To help deliver this, we invested in a tailored change management process to help us best understand and positively work with team members on their areas of apprehension and concern. We have seen really positive feedback from our team and the response to the tools has been excellent, and we are very pleased with the results and business impact so far.”
Bringing advisers and paraplanners into the implementation process
Advanta recognised that introducing AI successfully would require more than deploying new software. Its teams needed to understand how the technology would support their work and have a say in how it was introduced.
Working closely with Aveni, the firm undertook a three-month discovery and testing process supported by an internal network of technology champions.
Advisers and other team members helped identify the administrative challenges they wanted to solve, tested Aveni Assist and provided feedback as the rollout progressed.
Kevin D’Arcy, Group Head of Operations at Advanta Group, emphasised the importance of involving employees early. By building the implementation around the problems teams had identified themselves, Advanta could address concerns, encourage adoption and make the technology part of everyday working practices.
The firm has since formalised its approach to change, introducing a dedicated in-house change management resource to support its continued development.
“We want to ensure the relationships we are building aren’t transactional and ensure advisers can spend the time doing what they do best, getting to know our clients and building long-standing, trusting relationships. AI is enabling us in being able to do so by reducing admin time to allow for longer and more engaged conversations with clients. It is an investment in our clients and our people.”
Less administration, more time for client relationships
With Aveni Assist, advisers can capture information from face-to-face and online client meetings and use it to produce meeting summaries, notes and supporting documentation.
Rather than spending hours recreating conversations and preparing information for the next stage of the advice process, advisers can work from an organised record of what was discussed.
This reduces repetitive administration and helps advisers maintain their focus during meetings, giving clients their full attention instead of dividing it between listening and note-taking.
For Advanta, the opportunity is to give advisers more time for the work that depends on their professional judgement: understanding individual circumstances, exploring financial goals and developing lasting client relationships.

Giving paraplanners a clearer picture of every client
The benefits extend to Advanta’s paraplanning team.
Paraplanners rarely attend client meetings themselves, yet they need a detailed understanding of each client’s circumstances to prepare appropriate, personalised advice.
Previously, much of that understanding depended on the information advisers passed on after a meeting. Subtle details about a client’s concerns, priorities or attitude could be difficult to capture in conventional notes.
Aveni Assist gives paraplanners greater visibility into the original conversation, helping them understand the client’s own words, tone and priorities.
Stacey Simpson, Paraplanning Manager at Advanta Group, explains how this additional context helps her team work more closely with advisers, reduce unnecessary clarification calls and prepare reports that better reflect each client’s individual circumstances.
With less time spent gathering missing information, paraplanners can concentrate on technical analysis, challenging assumptions and helping advisers develop comprehensive financial plans.
Using AI-generated drafts to improve the reporting process
Advanta has also introduced Aveni’s document generation capability to support its paraplanning team.
Working with Aveni, the team integrated its existing report templates, developed effective prompts and refined the process using ongoing staff feedback.
One practical example is pension withdrawal reports, where much of the initial drafting can now be generated automatically.
The paraplanner remains responsible for reviewing and refining the output, including completing complex tax calculations and applying the technical judgement needed for each case.
For Kevin, this is central to how Advanta approaches AI-generated documentation. The technology prepares a draft, while the paraplanner interrogates the content, checks its accuracy and ensures the final report reflects the individual client.
This approach supports Advanta’s commitment to consistent, compliant and personalised advice while reducing the time spent producing the first draft.

Building on a successful partnership
Advanta’s experience demonstrates what firms can achieve when they approach AI implementation with clearly defined operational goals and involve their teams throughout the process.
For advisers, Aveni Assist helps reduce time spent on post-meeting administration. For paraplanners, it provides richer client context and a more efficient starting point for report preparation.
For the wider business, the implementation has established a foundation for exploring how AI can support other areas of its operations.
Kevin also credits the collaborative relationship with Aveni, from initial implementation through to refining the technology around Advanta’s requirements.
As he puts it:
“It is an investment in our clients and our people.”
Advanta continues to explore opportunities to extend the benefits of AI across its business, with a focus on improving how its teams work and the service they deliver to clients.
“We’ve been really well supported by Aveni as we have gone through this process and we are proactively exploring other areas of our business where AI implementation can also bring benefits.”
